Leadfwd will actively monitor your connected mailboxes through either an API (OAuth) or IMAP to find and extract replies to emails that originated from Leadfwd Sequences. Leadfwd will only extract and parse replies from your mailbox that relate to an originating message that was sent using Leadfwd.
Replies are identified by a unique message ID that corresponds to an originating message from the Leadfwd platform as well as a combination of a recipient and subject line that corresponds to an originating message.
Leadfwd is capable of detecting the following types of responses:
- Automatic replies: Autoresponders that are enabled by mailbox owners for vacation / ooo alerts, etc. These do not count as human replies and are automatically categorized as 'OOO'.
- Human replies: Actual replies from the recipient of an email sent using Leadfwd. These replies are displayed in your Unified Inbox and can be used to automatically end a Sequence for the contact/recipient immediately when the reply is received.
- System replies: These are replies that are generated by the mailbox/domains authoritative mail server and are typically alerts for permanent rejections (hard bounces) or temporary failures (soft bounces). Leadfwd automatically takes action based on whether or not the bounce is hard or soft.
Bounce Detection
Failed deliveries will be categorized as two unique types: Soft and Hard. Leadfwd will attempt to determine the type of bounce based on presence of either a response code or a text explanation. For hard or permanent bounce failures, your contact's record will be changed to 'bounced' and they will be removed from any future outreach.
We will count soft bounces (temporary failures) and attempt to deliver future messages, until the bounce count reaches a pre-defined limit. You can modify this limit in your Leadfwd account. The one exception for soft bounces is when the underlying issue is related to spam prevention or a block, in which case we will treat the bounce as a hard bounce and set the contact's record status to 'bounced'. This is to ensure the integrity of your connected mailboxes and the platform as a whole.
