Smart Sender Rotation saves time and dramatically optimizes inbox placement (deliverability).
Smart Sender Rotation enables you to split your email distribution for a Sequence equally over multiple connected mailboxes and unique domains. Instead of manually creating separate Sequences for each unique mailbox and/or domain, Smart Sender Rotation automatically splits your email distribution from a single Sequence.
Optimize Inbox Placement and Avoid the Spam Folder
If reaching the inbox is your primary goal (and it should be!), then sending hundreds of emails from a single mailbox is a bad idea. The guardians of mailboxes globally have dramatically stepped-up their flagging and filtering of cold sales email. Sending hundreds of emails from a single mailbox is an immediate red-flag for ISPs. It's an insanely fast way to find yourself silently blacklisted and banished to the spam folder.
Use Multiple Mailboxes and Domains to Increase Email Volume
The first step to avoid banishment to the email black hole (a.k.a. spam folder) is to send email like a human. Humans don't send hundreds of emails per day. Humans don't send the same email hundreds or even a dozen times per day. Humans can't send 15 emails per minute. Get the point?
By using multiple mailboxes and domains you can both spread the technical risk and tactically execute outreach like a human.
The sweet spot that we recommend is between 20 and 25 emails per day, per mailbox. We also recommend 1 mailbox per 1 unique domain for the most optimal configuration.
Mailbox A: 25 emails / per day
Mailbox B: 25 emails / per day
Mailbox C: 25 emails / per day
Mailbox D: 25 emails / per day
...
As you add mailboxes you're also scaling your maximum daily email output. But this is scale done properly with deliverability optimization in-mind. Since Leadfwd doesn't charge based on the number of connected mailboxes, we make it simply to ramp up your outreach without busting your budget.
Configure
Smart Sender Rotation should be enabled when you create your Sequence or ideally before any contacts begin 'Working' in a Sequence. The setting is can be found in your Sequence Configuration under Sender type.
User my mailboxes
This option creates a sender group from mailboxes that are owned, connected and assigned to your current logged-in user.
Copy mailbox group from a sequence
This option clones and creates a sender group from another Sequence in your account that you have permission to access (i.e. Shared Sequence). It's a quick and easy way to replicate larger and more complex sender groups, without starting from scratch each time.
This will not work if a Sequence is set to Private. You can only utilize the mailboxes/senders that your logged-in user has permission to access. If you believe a mailbox is missing from your options, ask your Account Owner to verify that your logged-in user has access permission to that particular mailbox.
Custom mailbox group
Start from scratch and assemble a custom group of mailbox senders for this specific Sequence.
Rules for Smart Sender Rotation
With Smart Sender Rotation enabled, there is no manual assignment of a Sender in each specific Email Step within a Sequence. Instead you'll see the sender assignment labeled as 'Smart Sender Rotation Enabled'.
- Threading to Email #1 can be enabled with Smart Sender Rotation, however then only Oauth connected mailboxes for Google Workspace or Outlook 365 can be selected for a Sender group.
- When a Contact is enrolled into a Sequence with Smarter Sender Rotation enabled, the Contact will be assigned in equal proportion to a mailbox assigned to your sender group. That will be the sender/mailbox for that specific Contact for the duration of the Sequence.
